The MSA Group is looking for a motivated individual to join as a Geological Operations Administrator.

Job Introduction

The role is responsible for performing a broad range of administrative and business tasks while ensuring the department is in full compliance with set standard operation procedures and internal policies. The Geological Operations Administrator role may include coordinating with department’s management to identify potential risks, implement policies and procedures to uphold laws and regulations and monitoring the company’s adherence to those policies and procedures.

Job Responsibilities 

Department Administration

  • Monitor and track operations metrics and maintain databases
  • Assist with team meetings, coordinate schedules, and maintain records
  • Troubleshoot operational problems to ensure efficient processes
  • Draft documents, memos, and emails as needed
  • Prepare presentations and other operational documents required
  • Research new operational technologies and methods
  • Ensure all paperwork is up-to-date, accurate, and compliant with company policies
  • Update and maintain operational systems and information in an organised manner

Finance Administration

  • Ensure that all department timesheets are captured timeously and accurately
  • Ensure all credit card transactions are recorded with the relevant supporting documents as per policy
  • Assist finance with collating of project information including existing and upcoming projects
  • Manage an active relationship with the Finance and HR department to ensure that employee records are up to date with the latest project changes

People Management

  • Actively identify and champion areas for change or improvement, including any blockages in service delivery, taking appropriate action to minimise the impact on internal/external customers
  • Actively contribute to own performance planning, management and review processes, and engage in continuous learning and professional development
  • Coordinate others (e.g. internal colleagues or external contractors/suppliers) to complete time-limited activities, within established procedures, in order to ensure efficient delivery of services
  • Monitor task completion to agreed quality and time limits

Qualifications 

  • Bachelor of Science degree in Geology, or related field
  • Minimum of two years of experience in a Geology operations/administration position
  • Knowledge of computers, software applications, and database management
  • Strong customer service and problem-solving skills
  • Excellent verbal and written communication skills
  • Able to multitask, prioritize workload, and meet deadlines
  • Strong analytical and organizational skills
  • Detail-oriented and attention to accuracy
  • Self-motivated and able to work independently with minimal supervision
  • Thorough understanding of operations processes, policies, and procedures
